Program Administrative Support Specialist, Senior

The Challenge

The Program Administrative Support is essential to the success of the program office.   If you are interested in being a critical piece of the organization, keeping the day to day operations running smoothly, then this is the position for you.  As the Senior Program Administrative Support on the team, you will lead the administrative support staff and responsible for the efficient and effective administrative operations of the office.  Major duties shall include but are not limited to: Providing schedule management support, including maintaining schedules, presentations, and correspondence for the Program Office included distributing briefings, tracking action items, and drafting meeting minutes. Providing administrative services to include meeting coordination, typing meeting minutes, preparing visit requests, and correspondence to ensure proper format, routing, and filing. Supporting travel management functions including arrangements, approvals, conference administration, reimbursements, and general customer assistance.   

You Have: 

  • Experience with Microsoft Office Outlook, Word, PowerPoint and Excel 
  • Experience with operating office equipment such as copiers, scanners, printers and fax machines 
  • Ability to coordinate travel arrangements and process post-travel vouchers 
  • Ability to type, proofread, merge documents and correct incorrect grammar
  • Ability to coordinate meetings and meeting agendas and presentations, reserve conference facilities, take meeting minutes, and record and track action items. 
  • Secret clearance 
  • HS diploma or GED and 15+ years of experience with Program support, or BA or BS degree and 11+ years of experience with program support, or MA or MS degree and 10+ years of experience with Program Support

  

Nice If You Have:  

  • Experience with Joint Personnel Adjudication System (JPAS) and Defense Travel System (DTS) 
  • Experience in supporting Navy programs preferred
  • Ability to lead a team of 4 administrative professionals
  • Possession of excellent writing and communication skills

Clearance:
