Executive Assistant, Senior

Key Role:
Work as an administrative professional who is enthusiastic, motivated, and excels in a fast-paced environment while supporting a vice president in the firm’s talent acquisition team. Provide a variety of administrative services while acting as a masterful problem-solver, including deploying communication and organizational expertise while building relationships across the firm. Anticipate the needs of the team, help team members to stay focused on projects by resolving operational and administrative issues before they arise, and exercise creativity while working in a results-driven, client-centric, collaborative work environment. Assist with the maintenance of the vice president’s calendar, arrange travel, coordinate weekly meetings, and demonstrate expertise in Microsoft Office, including fluency in PowerPoint and Excel. Track expenses and prepare expense reports, track and approve invoices, as necessary, and ensure deadlines are met by tracking various work initiatives, managing new employee training schedules, and performing delegated management functions. Produce superior work in a fast-paced environment while meeting deadlines and expectations for quality and accuracy, prioritizing conflicting needs, handling matters expeditiously and proactively, following through on projects to successful completion while under deadline pressures, and maintaining thorough knowledge of the firm’s matrixed organization and brand standards to offer superior service and accurate guidance to team members.

Basic Qualifications:
-7+ years of experience with supporting executive leaders in a large corporate organization, including calendar management and expense tracking
-Experience with a variety of PC programs, including Microsoft Office, such as Excel and PowerPoint
-Ability to exercise independent judgment within generally defined practices and policies when selecting methods and techniques for obtaining solutions to meeting responsibilities
-Ability to be self-motivated, work independently, and collaborate as part of a team to achieve business goals, as needed
-HS diploma or GED

Additional Qualifications:
-Experience with using SharePoint
-Ability to exercise sound judgment in maintaining the confidentiality of information
-Ability to be a critical and innovative thinker who can anticipate problems, formulate solutions, and act accordingly
-Ability to display a professional demeanor
-Ability to be client-focused and have a can-do attitude, including being flexible and adaptable and embracing ongoing changes in both tasks and environment
-Possession of excellent organizational skills, including prioritizing and multi-tasking effectively in a high stress environment
-Possession of excellent oral and written communication skills
-BA or BS degree
