Executive Assistant, Senior

Key Role:

Serve as an executive assistant to a vice president leading the firm’s Human Resources Strategy and Operations team. Provide a variety of administrative services to senior leads and team members while deploying expertise in communication and organization while building relationships across the firm. Anticipate the needs of the team, help team members stay focused on projects by resolving operational and administrative issues before they arise, and exercise creativity while working in a results-driven, client-centric, and collaborative work environment. Exercise sound judgement in a variety of situations using expertise in verbal and written communication and administrative and organizational work while maintaining a realistic balance among multiple priorities. Work under pressure at times to handle a wide variety of activities and confidential matters with discretion and maintain responsibility for providing Outlook support, including creating, updating, and rescheduling meeting invitations and management of distribution lists. Ensure the timely preparation and delivery of all briefing information for all meetings, including assisting with organizing team meetings and office events and producing superior work in a fast-paced environment while meeting deadlines and expectations for quality and accuracy. Track, research, and manage time and expense activities to enter and submit it on behalf of managers proactively, including coordinating managers’ schedules, meetings, travel arrangements, and teleconferences and preparing timely and accurate expense reports and correspondence.

Basic Qualifications:

-7+ years of experience with supporting executive leaders in a large corporate organization, including calendar management and expense tracking

-Experience with a variety of PC programs, including Microsoft Office, such as Excel and PowerPoint

-Ability to exercise independent judgment within generally defined practices and policies when selecting methods and techniques for obtaining solutions to meeting responsibilities

-Ability to be self-motivated, work independently, and collaborate as part of a team to achieve business goals
-HS diploma or GED

Additional Qualifications:

-Experience with using SharePoint

-Ability to exercise sound judgment in maintaining the confidentiality of information

-Ability to be a critical and innovative thinker who can anticipate problems, formulate solutions, and act accordingly

-Ability to show a can-do attitude, including being flexible and adaptable and embracing ongoing changes in both tasks and environment

-Possession of excellent organizational skills, including prioritizing and multi-tasking effectively in a high stress environment

-Possession of excellent oral and written communication skills

-BA or BS degree
