Executive Assistant

Key Role:

Maintain responsibility for critical organization, prioritization, and scheduling for a product manager and other senior managers and maintain continuity of office processes in their absence. Make independent decision within established guidelines and perform a full range of administrative services, including greeting visitors as the front office administrator, managing a dynamic online calendar, scheduling meetings and conference calls with senior management and external organizations, executing visitor security protocols, supporting office equipment and IT systems, and facilitating meetings. Arrange meeting logistics and invitations, organize and maintain filing systems, answer telephones, participate in clerical duties, including faxing, copying, and mailing, such as classified documents, reviewing office e-mail and military message traffic for internal routing, and preparing formal military correspondence. Use online government systems to complete expense or travel orders for senior personnel and support complex travel arrangements and serve as the team expert on matters pertaining to administrative procedures for all staff  Provide proofreading, word processing, and graphics support, as needed. This position is located onsite at the Aberdeen Proving Ground (APG), MD.

Basic Qualifications:

-2+ years of experience with providing executive-level administrative support in a professional environment

-Experience with using Microsoft Outlook to manage calendars and schedule meetings

-Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook

-Secret clearance

-HS diploma or GED

Additional Qualifications:
-Experience with the military, including a civilian or contractor capacity
-Experience in working with a variety of IT systems, including training other personnel to use office applications or Web sites
-Experience with Microsoft SharePoint

-Experience with preparing briefs and reports that are appropriate for senior government executives

-Ability to proofread documents for format, grammar, and punctuation with a high level of accuracy

-Ability to multi-task while maintaining strict attention to detail

-Possession of excellent oral and written communication skills

-AA or AS degree preferred; BA or BS degree a plus
