Conference Center/Catering Coordinator

Key Role:
​Provide oversight assistance with McLean, VA and Washington DC conference centers and support staff, as needed with plans to move the role to Bethesda, MD. Handle all facilities and logistics requirements, including overseeing internal support functions, such as pre-conference meetings, meeting relocation requests, and ensuring SLAs are upheld, backup to manager for high visibility events, oversee and approve weekly staff support schedules, assist with inventory budget review and oversight, assist with Microsoft box emails and EMS Web requests, assist with team development and staff training, metrics, and reporting for monthly usage of team room space, and liaison to leadership EAs. Manage the firm's catering program, including managing the partnership for 10 preferred catering vendors in the WMA and Norfolk, VA, process daily catering orders, review vendor aging reports to ensure the firm is meeting contract net terms, troubleshoot payment issues, invoice process management with the vendor payables team to complete end-to-end procurement cycle, and oversee and ensure timely processing of Help Desk tickets. Update Help Desk scripts periodically, uphold vendor contract terms and service levels, track suggested contract updates throughout the year, and lead annual renewal process, collaborating with sourcing, including meeting with vendors to review terms, and obtain executed contracts or associated documentation, such as reports or certifications and certificates of insurance. Conduct extensive menu review to ensure competitive pricing or standard pricing for standard items, including coffee services for yearly contract renewals, pull and analyze catering spend and sustainability efforts, conduct periodic vendor site inspections, and review vendor public health inspection reports. Travel between the McLean, One Preserve, and Washington DC conference centers on an as needed basis to provide back up support or leadership coverage for high level meetings.

Basic Qualifications:

-2+ years of experience in a supervisory or management role

-Ability to pay strict attention to detail and follow-through to consistently provide and implement solutions

-Ability to work in a team environment, perform collective team tasks to meet deliverables and deadlines, work well in a structured and unstructured environment, be a self-starter, work well under pressure, and manage time well

-Ability to work with all levels of staff and clientele

-Ability to learn new software, as required for the position

-HS diploma or GED

Additional Qualifications:

-Experience with a hotel or corporate conference center

-Possession of excellent service orientation, responsiveness, and organizational skills

-Possession of excellent oral and written communication skills

-Top Secret clearance
