Corporate Investigations Legal Executive Assistant

Key Role:

Maintain responsibility for the organization, prioritization, case management, and scheduling for several senior associate attorneys on the corporate investigations team of the legal department. Execute independent decisions within established guidelines and perform a full range of administrative services, including scheduling meetings and invitations, and arranging logistics. Work closely with the case intake coordinator and legal analyst to provide administrative support to case management. Perform clerical duties, including organizing and maintaining filing systems, completing expense reports online, making travel arrangements, ordering supplies, and serving as the team expert on matters pertaining to administrative procedures. Assist the team with technical troubleshooting, as needed, review and edit correspondence, and assist with new hire onboarding. Apply detailed knowledge of firm operations, organizational procedures, and personnel and serve as a team player within the broader team and during interaction with the other administrative and leadership teams. Take the initiative to improve administrative and operations within established guidelines, display and execute intent for self-improvement, perform general office duties, work with strict attention to detail when composing, typing, and proofing materials, establish priorities, and meet deadlines.

Basic Qualifications:

-5+ years of experience with providing executive-level administrative support in a law firm, corporate legal department, or legal government agency, including handling administrative case management, running reports, managing calendars, making domestic and international travel arrangements, managing and preparing expense reports, and planning meetings

-Experience with Microsoft Office, including OneNote, Word, Excel, PowerPoint, and Outlook

-Experience with maintaining a SharePoint site

-Knowledge of legal and business correspondence and drafting letters and communications

-Ability to be detail-oriented, proofread for grammar and punctuation with a high level of accuracy, and multi-task independently in a fast-paced environment

-Ability to create and edit presentations in Microsoft PowerPoint

-HS diploma or GED

Additional Qualifications:

-Experience with creating and maintaining a case management system in a corporate legal department, law firm, or legal government agency

-Experience with legal filings

-Ability to support or own department-level processes

-Ability to be collaborative and promote a team environment

-Possession of excellent analytical, organizational, and prioritization skills

-Possession of excellent oral and written communication skills

-Ability to obtain a security clearance

-BA or BS degree
