Executive Assistant, Senior

Key Role:

Provide administrative support to a Booz Allen Vice President, including supporting business development activities and proposal coordination, complex calendaring and event support, and client interface for scheduling and handling of DoD level registration activities. Perform a variety of complex and routine administrative and secretarial duties and work with little or no supervision, in compliance with written and oral guidance and policies. Oversee and manage processes tied to ensuring compliance, assessment, support budget, and other administrative activities are rolled out and completed by staff, review and provide input on team submission of materials for these processes and for expense reports, manage the creation and distribution of summary documents for use in internal administrative meetings, attend administrative leadership meetings to deliver updates, and take and drive out action items across teams. Apply knowledge of the firm and home team operations at an executive-level, gain knowledge of organizational procedures and key personnel, work independently and within a team on special, non-recurring, and ongoing projects, and act as a coordinator for special projects at the request of the executive, including planning and coordinating multiple presentations, disseminating information, and organizing company-wide events. Serve as a team player within the home team and in interaction and integration with the existing executive administrative and executive leadership teams in sustaining the office and cluster as a whole. Maintain responsibility for regularly coordinating the senior executive's schedule, meetings, travel arrangements, and teleconferences, prepare timely and accurate expense reports, briefings, and correspondence, serve as the final line of review of documents prior to submission to the senior executive, take the initiative to improve operations and office conditions within established guidelines, display and execute intent for self-improvement, perform general office duties, work with constant attention to detail in composing, typing, and proofing materials, establish priorities, and meet deadlines. Interface with administrative and Chief of Staff positions within client environments and manage meeting materials and registration of materials and attendees for purposes of classified environments.


Basic Qualifications:

-10+ years of experience with working in a PC computer environment, including working with the Internet, e-mail, IT hardware, Web-based operations, and Microsoft PowerPoint and Excel at an advanced level required

-10+ years of experience in working with senior executive clients

-Knowledge of Microsoft Office 2007 and MSFT 2010 and Windows 365 Product Suite, including all functions

-Ability to manage multiple complex calendars with multiple constraints and to form strong working relationships with staff, clients, and the assistants of other leaders across the firm

-Ability to work flexible hours and be available onsite in McLean, VA between 8AM–6PM, Monday through Friday

-Ability to maintain the highest level of confidentiality in handling sensitive material concerning the organization and the executive's role within the organization

-Ability to obtain a security clearance


Additional Qualifications:

-Experience in managing timely delivery of complex materials and calendars in a competitive environment within a 40-hour work week

-Experience with supporting a senior leader, including VP, SVP, C-suite or Flag Officer, or Deputy Director level position

-Knowledge of the DoD environment and how to operate and support staff within federal contractor roles, including how to operate in and around policies or procedures of the DoD

-Ability to work in a fast-paced environment and juggle multiple tasks and demands

-Ability to anticipate requirements, perform proactively, and prioritize work without oversight

-Ability to plan complex meeting agendas and plan and prepare the appropriate logistics to support the meetings

-Ability to interact with executives, senior leaders, and other executive assistants from the client community, other industry partners, and within the firm

-Ability to creatively solve a wide variety of problems and develop appropriate responses to a wide variety of unique challenges and opportunities

-Ability to quickly comprehend the firm's operating model, including financial model, contracts, business parameters, and markets

-Possession of excellent critical thinking and problem-solving skills

-Possession of excellent diplomatic skills

-Possession of excellent oral and written communication skills

-BA or BS degree
