Executive Assistant, Senior

Key Role:

Maintain responsibility for the critical organization, prioritization, and scheduling for corporate executives and maintain continuity of office in the executives' absence. Execute independent decisions within established guidelines, and perform a full range of administrative services, including making appointments, scheduling meetings and invitations, and arranging logistics. Perform clerical duties, including scanning, copying, mailing, and processing purchase orders and invoices, complete expense reports online for executives, provide other administrative assistance, as assigned, make travel arrangements, and serve as the team expert on matters pertaining to administrative procedures. Organize and maintain responsibility for the filing systems, answering phones, contributing to building and working in a team of administrative professionals, and providing backup for one another, as needed. Draft communications and perform proofreading, as needed. Work independently within the full range of administrative responsibilities. Collaborate and promote a team environment with other executive assistants on the team and with key business leaders.

Basic Qualifications:

-8+ years of experience with providing executive-level administrative support in a large organization

-Experience with calendar management, office management, making domestic and international travel arrangements, managing and preparing expense reports, and planning meetings

-Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook

-Knowledge of business correspondence and drafting letters and communications

-Ability to be detail-oriented and proofread on grammar and punctuation with a high level of accuracy

-Ability to create presentations in PowerPoint

-HS diploma or GED

Additional Qualifications:

-Experience with report generation

-Ability to be collaborative and promote a team environment

-Ability to multi-task independently in a fast-paced environment

-Possession of excellent oral and written communication skills

-Possession of excellent analytical, organizational, and prioritization skills

-BA or BS degree
