Executive Assistant, Senior

Key Role:

Perform a variety of complex and routine administrative and secretarial duties with minimal supervision for two principals in compliance with written and oral guidance and policies, execute independent decisions within established guidelines, and perform a full range of administrative services, including organizing a travel schedule, and heavy calendar organization and management, such as scheduling meetings including comprehending whether appointments should be scheduled with other team members, deconflicting competing appointments, and completing expense reports. Assist with pulling together briefing packages where inputs are gathered from multiple stakeholders, managing high-volume of emails and prioritization of requests, and ensuring actions and key leadership requests are handled in a timely fashion. Oversee processes tied to compliance, annual summaries, budgets, onboarding staff, and other administrative activities. Pay strict attention to detail when composing and proofing materials, establish priorities, and meet deadlines. Review and provide input on the team’s correspondence and documentation, provide guidance to the executive, apply detailed knowledge of the firm’s operations, organizational procedures, and personnel, and serve as a point of contact with the other administrative and leadership teams. Leverage network and resources to accomplish objectives effectively, participate in or lead team initiatives, as needed, and take initiative to improve operations and office best practices within established guidelines.

Basic Qualifications:
-6+ years of experience with providing executive-level administrative support in a large corporate environment
-Experience with managing multiple executive calendars simultaneously, including making domestic and international travel arrangements, and preparing expense reports 
-Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook at an advanced level
-Ability to prioritize and re-prioritize action items due to changing needs of the executive and team, respond to requests timely and thoroughly, be proactive in anticipating business and administrative needs, be self-motivated, work independently, collaborate as part of a team to achieve business goals, and multi-task independently in a fast-paced environment
-Ability to prepare correspondence for executives in coordination with the marketing and communications team, including follow up responses to invitations, meeting requests, biographies, and announcements
-Ability to proofread documents for grammar and punctuation with a high level of accuracy and interact effectively with internal and external senior-level executives and their assistants in a professional manner
-HS diploma or GED

Additional Qualifications:
-Experience with providing senior executive-level support in a management consulting firm
-Experience with SharePoint site management
-BA or BS degree
