Facilities Coordinator

Key Role:

Provide general facilities administration support, including responding to calls for facility repair, purchasing office supplies, stationery, business cards, and name plates, handling special mail request and printing services, and analyzing petty cash account and facility security functions. Analyze fixed asset inventories and conduct vendor management. Work at the reception desk, act as a concierge, and analyze the preparation of monthly reports. Work as an administrator for the loaner laptop pool, coordinate conference room scheduling, and coordinate visitor space. Monitor the ServiceNow box for tickets, process smart cards and tokens, and troubleshoot issues with printers. Work under minimal supervision and assist with training, assigning, and checking the work of junior employees as needed.

Basic Qualifications:

-2 years of experience in a professional work environment

-Experience with Microsoft Office products, including Word, Excel, Outlook, and PowerPoint

-Ability to quickly comprehend the firm's operating model, including financial models, contracts, business parameters, and markets 

-Ability to setup and maintain a social media team presence, including maintaining the team page, Yammer groups, the team blog, Zone, and internal media boards

-Ability to work as a part of a team in a fast-paced environment effectively, including juggling multiple tasks and demands 

-Ability to obtain a security clearance

-HS diploma or GED

Additional Qualifications:
-Experience with working as a receptionist, including scheduling

-Experience with creating and maintaining reports and tracking data

-Experience with vendor management

-Experience with managing a facility, including monitoring and ordering inventory

-Experience with audio/visual (AV) equipment, including printers and projectors

-Knowledge of the business development environment a plus

-Ability to be responsive, show professionalism, and react objectively
-BA or BS degree
