Meetings/Catering Manager

Key Role:
Handle all facilities and logistics requirements, including overseeing internal support functions, such as pre-conference meetings and meeting relocation requests, ensuring SLAs are upheld, acting as backup to the manager for high visibility events, overseeing and approving weekly staff support schedules, assisting with inventory budget review and oversight, assisting with Microsoft box e-mails and EMS Web requests, assisting with team development and staff training, metrics, and reporting for monthly usage of team room space, and liaising with leadership EAs. Manage the firm's catering program, including managing the partnership for 10 preferred catering vendors in the WMA and Norfolk, VA, processing daily catering orders, reviewing vendor aging reports to ensure the firm is meeting contract net terms, troubleshooting payment issues, invoicing process management with the vendor payables team to complete end-to-end procurement cycle, and overseeing and ensuring timely processing of help desk tickets. Update help desk scripts periodically, uphold vendor contract terms and service levels, track suggested contract updates throughout the year, and lead the annual renewal process, including collaborating with sourcing, such as meeting with vendors to review terms, and obtaining executed contracts or associated documentation, such as reports or certifications and certificates of insurance. Conduct extensive menu review to ensure competitive pricing or standard pricing for standard items, including coffee services for yearly contract renewals, pulling and analyzing catering spend and sustainability efforts, conducting periodic vendor site inspections, and reviewing vendor public health inspection reports. This position requires the ability to travel between the McLean, One Preserve, and Washington DC conference centers to provide back up support or leadership coverage for high level meetings on an as-needed basis and provide oversight assistance with McLean, VA and Washington DC conference centers and support staff, as needed with plans to move the role to Bethesda, MD.


Basic Qualifications:
-3+ years of experience with conference or meeting supervisory
-2 years of experience with handling logistic requirements for conferences, budget oversight, vendor management or negotiation, and contract or proposal writing
-Experience with the learning and development of new staff and training of internal policies and procedures

-Ability to meet deliverables in high-paced, structured, and unstructured environments
-Ability to effectively communicate with all levels of staff, including officers and board members
-Ability to leverage business acumen and technical adeptness
-Ability to obtain a security clearance
-BA or BS degree


Additional Qualifications:
-Experience with a hotel or corporate conference center
-Possession of excellent service orientation, responsiveness, and organizational skills
-Possession of excellent oral and written communication skills
-Top Secret clearance
