Meetings Coordinator

Key Role:

Support the McLean conference center's facilities, teams, and conference participants. Provide traditional concierge support, including answering phones, greeting guests, maintaining responsibility of an inventory for all office supplies and kitchen supplies, and communicating material orders to external vendors. Provide scheduling assistance and coordinate with the audio visual team to ensure overall client satisfaction. Provide logistical support to events in the conference center, including setting up and changing meeting room configurations as per meeting schedules and moving and storing furniture. Maintain responsibility for rooms between meetings, including maintaining the professional appearance of the entire conference center. Greet clients and staff at the start of each meeting, keep a daily log of additional client requests, provide direct client service, including creating and maintaining rooms’ set-up diagrams, participating in pre-conference meetings, and conducting phone and e-mail confirmations regularly. Process mitigations and resolve help desk tickets, conduct regular room checks of proposal rooms and provide utilization data to leadership, and assist with other administrative tasks, as assigned and needed.

Basic Qualifications:

-2+ years of experience in a customer service setting within a professional environment

-1+ years of experience with meeting and conference management, including overseeing logistics for event management

-Experience with Microsoft Word, including Excel and PowerPoint

-Ability to work in a structured and unstructured environment

-Ability to perform all duties, as assigned
-Ability to obtain a security clearance

-BA or BS degree or 5+ years of experience with customer service in lieu of a degree

Additional Qualifications:

-Ability to be a self-starter, including working under pressure and managing time well with minimum supervision

-Possession of excellent oral and written communication skills

-Active Top Secret clearance
