Office Operations Assistant

Key Role:

Maintain responsibility for organizing, prioritizing, and scheduling team operational activities for 30+ staff primarily based at the Booz Allen Picatinny Arsenal, NJ office. Provide Picatinny-specific guidance to the firm’s executives and senior associates, apply detailed knowledge of the firm’s operations, organizational procedures, and personnel, and serve as a team player for the home team, administrative assistant team, and when interacting with other administrative and leadership teams. Leverage network and resources to accomplish objectives effectively, participate in or lead firm or team initiatives, as needed, and take the initiative to improve operations and office conditions within established guidelines. Display and execute intent for self-improvement, pay strict attention to detail in composing, typing, and proofing materials, establish priorities, and meet deadlines.
 

Basic Qualifications:
-3+ years of experience with providing executive-level administrative support in a large, corporate environment
-Experience with managing Outlook team calendars

-Experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook at an expert level
-Ability to provide seamless support to local and virtual senior-level executives, be self-motivated, work independently, collaborate as part of a team to achieve business goals, and multi-task independently in a fast-paced environment
-Ability to proofread for grammar and punctuation with a high level of accuracy
-Ability to interact with internal and external senior-level executives and their assistants effectively in a professional manner and be proactive in anticipating business and administrative needs

-Ability to obtain a security clearance

-HS diploma or GED


Additional Qualifications:
-Experience with providing senior executive-level support in a management consulting firm

-Experience with onboarding new hires and providing guidance on systems navigation

-Ability to train with a security team to initiate I-9, smart cards, and tokens

-Ability to initiate, track, replace, and reconcile Team MiFi Aircards and become proficient in internal Booz Allen systems, the Cisco phone system, and Xerox equipment

-Ability to interface with reception for the coordination of conference rooms, client and staff meetings, catering requirements, and guest WiFi

​-Possession of excellent oral and written communication skills to develop a network with Booz Allen executive assistants and colleagues
