The Opportunity:

The Defense Advanced Research Projects Agency (DARPA) is looking for an Office Manager to ensure the efficient and effective operation of the office and provide critical support to the team. You’ll leverage your highly organized, proactive, and detail-oriented expertise with excellent communication and interpersonal skills. You will be responsible for a range of essential administrative and operational tasks, with a specific focus on internal event coordination, mailbox management, SharePoint administration, personnel onboarding, timecard processing, and other ad hoc activities as required. This role contributes significantly to fostering a productive and collaborative work environment. This position is located in Arlington, VA.

How You'll Contribute:

  • Oversee day-to-day office operations, including maintaining office supplies, equipment, and facilities, coordinate office maintenance and repairs, working with vendors and building management as needed, and maintain accurate records and filing systems, both electronic and hard copy.
  • Manage the office's central email inbox, prioritizing, distributing, and responding to incoming correspondence promptly and professionally, ensure timely routing of emails to appropriate personnel for action, and maintain a well-organized and accessible email archive.
  • Plan, organize, and execute internal events, including meetings, conferences, and team-building activities, and coordinate with all parties to ensure seamless event execution.
  • Administer the SharePoint site, ensuring its effective use as a central repository for documents, information, and collaboration tools, create, organize, and maintain document libraries, lists, and workflows within SharePoint, manage user access and permissions within SharePoint, and provide support to staff on SharePoint usage.
  • Coordinate the onboarding process for new employees, ensuring a smooth and welcoming transition, prepare onboarding materials, including welcome packets, coordinate with HR and IT to ensure new hires have the necessary access and equipment, and conduct office orientation for new employees, introducing them to policies, procedures, and resources.
  • Collect, review, and process employee timecards accurately and efficiently, ensure timecard compliance with established policies and procedures, and address employee inquiries regarding timecard submissions and approvals.
  • Provide general administrative support to staff as needed, including preparing documents, escorting visitors, and running presentations for internal meetings, support other office management functions as requested by the Director or designated staff, and manage distribution lists and folder accesses, etc., as staff arrive and depart.

You Have:

  • 3+ years of experience providing support and working within a C-suite, SES, or military office in a professional environment
  • Experience managing special projects and executive meetings
  • Experience with using Microsoft 365, including Outlook, Word, Teams, and SharePoint applications
  • Ability to pay strict attention to detail
  • Secret clearance
  • Associate’s degree

Nice If You Have:

  • 1+ years of experience at DARPA or ARPA-H
  • Knowledge of DoD or other US Government operations and processes
  • Possession of excellent planning skills
  • Possession of excellent verbal and written communication skills
  • Top Secret clearance
  • Bachelor’s degree

Clearance:

Salary at Booz Allen is determined by various factors, including but not limited to location, the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements. The projected compensation range for this position is $55,200.00 to $126,000.00 (annualized USD). The estimate displayed represents the typical salary range for this position and is just one component of Booz Allen’s total compensation package for employees.
