Administrative Assistant

Key Role:

Perform secretarial and administrative duties for the branch chief and staff. Perform routine to moderately complex clerical, administrative, and secretarial duties under limited supervision with assignments generally involving work of a confidential nature and apply basic knowledge of the practices and procedures of the function. Answer routine mail and inquiries, follow up with others to ensure that activities are coordinated, arrange and make notifications of appointments and travel reservations or arrangements, answer telephone calls, handle inquiries tactfully, and transfer calls to appropriate parties. Proofread typed documents against source documents and assemble a final product for review, authentication, or other disposition. Leverage the continuous use of technical and business vocabulary and a detailed knowledge of company operations, organizational procedures, and personnel. Make independent decisions regarding planning, organizing, and scheduling work within established guidelines. Answer inquiries from staff, advise personnel on administrative and clerical matters, and set-up and maintain logs, rosters, status boards, charts, graphs, and viewgraphs.


Basic Qualifications:

-2+ years of experience with secretarial or administrative work in a professional environment

-1 year of experience with supporting the DoD

-Experience with using DoD systems, including Defense Travel System (DTS) and Automated Time, Attendance and Production System (DATAAPS)

-Experience with Microsoft Office

-Knowledge of various software types, including spreadsheets, word processing, graphics, databases, and the various functions and features of several programs in each category

-Knowledge of terminology familiar to the organization, including Army and installation acronyms and administrative, industrial, and engineering terminology

-Knowledge of general clerical practices and operations of the office

-Knowledge of various forms and formats required to complete administrative requirements

-Secret clearance

-HS diploma or GED


Additional Qualifications:

-Experience with providing secretarial or administrative duties for the Army

-Possession of excellent oral and written communication skills

-BA or BS degree preferred
