Key Role:
Complete a variety of complex and routine administrative and secretarial duties with minimal supervision for Principal or Director-level executives in accordance with verbal and written guidance and corporate policies. Perform a full range of administrative services, including organizing a travel schedule and making travel arrangements, calendar organization and management, including scheduling meetings, understanding whether appointments should be scheduled with other team members, and de-conflicting competing appointments, completing expense reports, and maintaining e-mail distribution lists, phone lists, and a team-wide organization overview chart. Perform clerical duties, including answering phones, scanning, copying, mailing, and preparing binders with procurement materials. Provide office management support, including managing equipment such as laptops, purchasing, arranging on-site and off-site meetings, including catering, meeting set-up and clean-up, and related planning and logistics support. Interface with the local facilities manager and provide back up, when needed. Serve as the office expert and resource on administrative procedures and general questions for all staff in a positive, welcoming manner.
Basic Qualifications:
-7+ years of experience in an administrative role, including providing executive-level support in a large, corporate environment
-Experience with calendar management, travel arrangement, and expense reporting
-Experience with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
-Ability to take initiative, work independently in a dynamic and fast-paced environment, and multitask to support multiple team members both in-person and virtually
-Ability to be detail-oriented and proofread for grammar and punctuation with a high level of accuracy
-Ability to be collaborative and promote a team environment
-Ability to interact with internal and external senior-level executives and their assistants in a professional manner
-Ability to obtain a security clearance
-HS diploma or GED
Additional Qualifications:
-Experience with travel and expense software, including SAP Concur
-Experience with human resource software, including Workday
-Experience with video conferencing, equipment, and software tools
-Possession of excellent organizational skills
-Possession of excellent oral and written communications skills
-BA or BS degree
