Onsite Travel and Administrative Support Specialist

The Opportunity: 

As an Onsite Travel and Administrative Support Specialist, you will manage various office functions, including client travel arrangements and reporting, visitor coordination, arranging meetings and video teleconferences, providing program and project office administrative support, analysis, report writing, action tracking, basic A/V setup, and reception duties onsite in a client facility. This role is crucial in ensuring the smooth operation of an office and providing a welcoming environment for both employees and visitors.  

You will leverage your excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently. You’ll collaborate across a small pool of other administrative support professionals to meet business needs.

What You’ll Work On:  

  • Work independently, cooperatively, and collaboratively with various levels of staff.

  • Apply available technologies and tools to perform tasks efficiently.

  • Analyze and update program documents and expenditure reports.

  • Communicate effectively in all forms of correspondence.

  • Proactively manage deadlines, track progress, and communicate reminders for relevant tasks.

  • Organize and maintain electronic records.

  • Prepare and process various forms.

  • Ensure visitor access is properly managed.

  • Greet and direct visitors to the appropriate sponsor and provide visitors with necessary information and assistance during their visit.

  • Liaise with the Facilities Management team or contractors and other relevant corporate services.

  • Provide virtual meeting coordination and support.

  • Plan, coordinate, and execute office events and meetings.

  • Set up and troubleshoot basic A/V equipment for meetings or events.

  • Ensure the appropriate level of discretion while handling exposure to highly sensitive and confidential data at all times.

You Have:

  • Experience working in a professional office environment

  • Experience with Microsoft Office, including Word, Excel, and PowerPoint

  • Experience preparing and overseeing federal government travel arrangements

  • Experience arranging meetings, conferences, and video teleconferences

  • Experience with executive scheduling using Microsoft Outlook

  • Experience using office equipment and A/V systems 

  • Ability to work independently and as part of a team 

  • Ability to solve problems

  • Ability to obtain a Secret clearance

  • HS diploma or GED

Salary at Booz Allen is determined by various factors, including but not limited to location, the individual’s particular combination of education, knowledge, skills, competencies, and experience, as well as contract-specific affordability and organizational requirements. The projected compensation range for this position is $48,000.00 to $98,000.00 (annualized USD). The estimate displayed represents the typical salary range for this position and is just one component of Booz Allen’s total compensation package for employees.
